Meeting Planner
Find the best meeting time across time zones with a visual timeline of working hours.
Quick add:
Add at least 2 cities to find meeting times
How It Works
- Add team member cities. Search for and add each team member's city. Each city appears as its own row in the timeline.
- Review the timeline. The timeline shows the full day for every city, with working hours highlighted and sleep hours shaded dark.
- Find overlapping working hours. Look for the highlighted ranges where all cities are within working hours — the best slots for your meeting.
- Pick and share a time. Choose a slot, note the local time for each city, and share it via calendar invite or chat.
Frequently Asked Questions
How does the meeting planner work?
Add the cities of your team members and the planner shows a visual timeline of working hours for each city. It highlights the best overlapping times for a meeting so you can pick a slot that works for everyone.
What are considered working hours?
Working hours are 9:00 AM to 6:00 PM in each city's local time. Sleep hours (10:00 PM to 6:00 AM) are shown in a darker shade so you can avoid scheduling meetings in the middle of someone's night.
What if there are no overlapping working hours?
When no time works for everyone during working hours, the planner suggests the least-bad options where the fewest team members are outside working hours, so you can find a workable compromise.
How many cities can I add to a meeting?
You can add as many cities as your team needs. Each city gets its own row in the timeline, and the planner recomputes the overlap as you add or remove cities.
Does it account for daylight saving time?
Yes. Each city uses its local timezone rules, so DST changes are applied automatically. Pick the meeting date and the timeline reflects the correct offsets for that day.
Is the meeting planner free to use?
Yes, completely free with no sign-up. Everything runs in your browser, so your team's locations and meeting plans never leave your device.
